How to set up your email account in Apple Mail

Setting up an email account with IMAP (Internet Message Access Protocol) in Mac Mail is a relatively straightforward process. IMAP allows you to access your email messages on the email server, keeping them synchronized across multiple devices. Here’s how to set up an IMAP email account in Mac Mail:

1. Open Mac Mail: Launch the Mail application on your Mac. You can usually find it in the Applications folder or by using the Spotlight search.

2. Add an Email Account: If it’s your first time using Mac Mail or you want to add a new email account, you’ll typically see a setup wizard when you open Mail. If you don’t see the wizard or want to add an additional account, you can also access the account setup options through the following steps:

  • Mail (macOS Big Sur and later): Click on the “Mail” menu in the top-left corner of your screen and select “Add Account…”
  • Mail (macOS Catalina and earlier): Click on “Mail” in the top menu bar and select “Add Account…”

3. Choose Account Type: In the “Add Account” dialog box, select “Other Mail Account” and click “Continue.”

4. Fill in Account Details:

  • Full Name: Enter your name as you want it to appear in outgoing emails.
  • Email Address: Enter your full email address.
  • Password: Enter the password associated with your email account.
  • Click “Sign In.”

5. Account Type: Choose “IMAP” as your account type. IMAP is recommended because it allows you to synchronize your emails across multiple devices.

6. Fill in Server Settings:

  • Incoming Mail Server: Enter the IMAP server address (e.g., mail.yourdomain.com.au).
  • User Name: Enter your full email address.
  • Password: It should already be filled in from the previous step.
  • Outgoing Mail Server: Enter the SMTP server address (e.g., mail.yourdomain.com.au).

7. Click “Sign In:” Mac Mail will attempt to verify your account settings. If everything is set up correctly, it should recognize the account and offer to configure additional settings.

8. Configure Account Options:

  • Choose the applications you want to use with this email account (Mail, Contacts, and Calendar).
  • Customize any other settings, such as whether to store messages on the server or how frequently to check for new messages.

9. Finish Setup: Click “Done” to complete the setup. Mac Mail will add your IMAP email account, and you can start using it to send and receive emails.

10. Synchronize Folders: Depending on your settings, Mac Mail may start synchronizing your email folders automatically. If not, you can manually initiate the synchronization by clicking “Mailbox” in the top menu bar and selecting “Synchronize All Accounts.”

Your IMAP email account is now set up in Mac Mail, and your emails will be synchronized across all your devices. You can start using Mac Mail to manage your emails, calendars, and contacts.
